REPLACE MY STACK

PMS vs Separate Airbnb Tools

Excel for tracking. WhatsApp for cleaners. Trello for tasks. Google Docs for property notes. A pricing tool for rates. At some point, the problem is not any one tool. It is the handoffs between them.

The modular stack can work

Specialist tools are often excellent at the individual job they were designed to do. A modular stack also lets operators choose best-of-breed products.

The hidden cost is coordination

Duplicate data entry

Different sources of truth

Manual handoffs between reservations and operations

Team context spread across apps

Reporting assembled after the fact

What an operations-first PMS consolidates

The strongest case for consolidation is not having fewer subscriptions. It is connecting the reservation to the property, guest, turnover, team activity, expenses and performance so today's operation can be understood from one place.

Keep specialist tools where they add value

A PMS does not need to replace every specialist product. Pricing, accounting or other specialist systems can remain part of the stack when they provide deeper functionality. The PMS should clarify which system owns which workflow.
